Separate drafts from scheduled posts
Content ready for review is not necessarily ready for delivery. Record its state, approver, channel and selected version. Avoid leaving the same message in two scheduling queues. Confirm the options available on the account and service you use: an option seen on another account is not sufficient. Check accepted formats and the settings specific to each queue as well.
Name the time zone and relevant dates
Record the time zone used for scheduling and distinguish publication time from the time of an announced event. For an international audience, provide an explicit reference rather than “tonight”. Check the day displayed in the interface, especially around midnight or a seasonal clock change. Do not look for a universal hour assumed to guarantee reach: choose a time compatible with actually monitoring the message.
Plan a review close to delivery
An announcement accurate today may become incorrect before publication. Set a check suited to its content: venue, registration, link, availability or quotation. Sensitive news may require manual approval and postponement. Record who can intervene if the usual owner is absent. Confirm the current procedure for changing or removing a schedule before relying on it.
Check delivery and prevent duplicates
After the planned time, check the actual public state, text, files and link destinations. A scheduled state does not prove delivery. If the post did not appear, inspect the queue before retrying to prevent a delayed duplicate. Record the outcome and changes; plan an expiry review for messages whose action has an end date.
A fictional case to apply the process
Fictional example: a workshop is announced in two languages. The owner records the time zone for each schedule, reviews the registration link before delivery and checks both posts afterwards. Postponing the workshop also triggers a review of messages still in the queue.
